Refund Policy

Bastion Removal LLC – Refund & Cancellation Policy

Booking & Cancellation Windows

To maintain operational efficiency and fleet scheduling, cancellations are subject to the following timeframes:

  • More than 48 Hours’ Notice: Cancellations made at least 48 hours prior to the scheduled delivery or haul window are eligible for a full refund minus any non-refundable card processing fees.

  • 24 to 48 Hours’ Notice: Cancellations made within this window are subject to a 25% late cancellation fee of the flat haul rate. The remainder will be refunded or credited toward a rescheduled date.

  • Less than 24 Hours’ Notice: Cancellations made within 24 hours of the scheduled slot are non-refundable.

Dry Runs & Unserviceable Sites

Our flat rate assumes a successful drop-off or pickup. If our truck arrives at your site and cannot perform the service due to circumstances outside our control, the haul is non-refundable. You will be charged a $150 Dry Run Fee for reasons including, but not limited to:

  • Blocked access (vehicles, locked gates, low-hanging trees, or power lines).

  • Unsafe or unstable ground conditions (e.g., severe mud that risks bogging the trailer).

  • Substrate restrictions or local zoning violations that halt the drop/haul.

  • The customer or site manager changes their mind upon arrival.

Overloaded or Prohibited Materials

Every haul must comply with legal weight limits and environmental regulations.

  • Prohibited Items: If a trailer contains hazardous materials, electronics, tires, or other explicitly banned items (as outlined in the Rental Agreement), we will refuse the haul. The customer must remove the items at their own expense. No refunds will be issued for delayed hauls due to prohibited materials, and additional delay fees may apply.

  • Mechanical Overload: If a trailer is loaded past the legal or mechanical capacity of our truck and trailer setup, we will not haul it. The trailer will remain on-site until the customer removes the excess weight. The flat rate remains due, and a $150 Dry Run Fee will be applied for the return trip to pick up the corrected load.

  • Transfer Station Overweight: Our flat rate covers standard hauling and disposal up to 2,000 lbs (1 ton). If a load exceeds 2,000 lbs but is still safely under the mechanical limit of our equipment:

    • Bastion Removal will proceed with the haul to prevent project delays.

    • The customer is fully responsible for the additional tonnage fees charged by the transfer station.

    • An automatic Overweight Surcharge (calculated at our current cost-per-ton rate at the transfer station plus a 15% administrative fee) will be billed directly to the customer's card on file upon disposal. The dump receipt will be provided as proof of weight.

Severe Weather & Equipment Failure

Act of God / Weather: If Bastion Removal must cancel or delay a service due to severe weather, dangerous road conditions, or unexpected mechanical equipment failure, the customer will receive a 100% refund or the option to reschedule with priority tracking. Bastion Removal is not liable for any secondary costs incurred by the customer due to these delays.

Refund Processing

All eligible refunds will be credited back to the original payment method within 5–7 business days. Cash or check payments will be refunded via company check within 10 business days.
